Position Summary:
NQAPIA is seeking applicants for an full-time Administrative Assistant. This critical team member supports NQAPIA staff and programs with administrative support, logistical execution, communications, and database management.
Responsibilities:
Manage NQAPIA’s database of contacts and donors (CRM). Responsible for data entry and coding of sign in sheets and donations into CRM, and charging credit cards. Pull and clean segmented lists of donors for fundraising drives, recruitment efforts, and mailings.
Assist in financial administration and billing. Generate personalized donation acknowledgments. Pull data for required funding and financial reports. Issue and track NQAPIA invoices for sponsor payments.
Support event set up and logistical execution for conferences, training workshops, and fundraising events. Oversee on-site registration and check-in. Coordinate hotel reservations, air travel, and travel reimbursements for attendees. Track dietary restrictions and accessibility needs. Circulate sign in sheets, delivery and distribution of materials.
Reinforce positive relationships with NQAPIA contacts, donors, partners, and member groups. Answer logistical questions in a timely manner and donor acknowledgements. Create data collection mechanisms including googleforms or doodle scheduling of calls.
Boost public presentations of NQAPIA. Create PowerPoints for events. Assist in proofreading. Speak before large audiences to give instructions, updates, or follow up.
Support organizing and advocacy efforts and campaigns. Develop electronic actions, social media actions, e-petitions, phone banking actions, recruitment phone calls and emails. Occasional note-taking for follow up and evaluation.
Deploy NQAPIA’s communications systems (primarily email and website). Develop regular eblasts on community updates, e-newsletters, media releases, action alerts, and fundraising emails (but not primarily responsible for content). Update website with new pages and context. Update blog roll. Occasional social media postings. Maintain master calendar of eblasts.
Support other NQAPIA projects as they arise.
Required Skills:
Ability to work independently, with remote supervision
Ability to work with and support a national team and organizations across the country
Strong attention to detail
100% follow-thru and responsiveness
Understanding of various communications platforms (i.e., Facebook, Twitter, Instagram, etc.) and infrastructure systems (i.e., SalsaCRM).
Being comfortable in a virtual office and working from home
Some ability to travel to conference
Compensation:
Full-Time at $40,000 per annum. Paid as an hourly 40-hour per week wage with timesheets.
Full benefits including health, dental, and retirement contribution. As well as vacation, sick time, and compensated time off.
